Terms of Service

The terms that apply when you use ABC Virtual Offices (Apollo Business Centers) services.

Last updated: draft, not yet in effect. Items marked [to be confirmed] are not decided yet and will be filled in before these Terms take effect.

1. About these terms

These Terms of Service ("Terms") apply to the virtual office, mail, phone answering, conference room and hourly office services provided by Apollo Business Centers, Inc. (DBA ABC Virtual Offices) ("ABC," "we," "us"), at our office on Wilshire Boulevard in Beverly Hills. By signing up for or using our services, you agree to these Terms. If you sign up on behalf of a business, you agree to them for that business.

2. Your account and information

You agree to give us accurate, current information about yourself and your business, including the names of anyone authorized to pick up your mail, and to tell us promptly when anything changes. We may ask for identification before we start or continue service.

3. Payment, renewals and price changes

Virtual office and phone packages are month-to-month subscriptions. Payments are processed securely by Stripe, our payment processor; we do not store your full card details. Your plan is billed in advance at the start of each monthly billing period and renews automatically each month until you cancel.

Add-on services are billed month-to-month along with your plan. Usage-based charges, such as mail forwarding postage and handling, are billed [to be confirmed]. Conference room and hourly office bookings are charged at the time of booking.

We may change our prices by giving you at least 30 days' notice by email. The new price applies from your next billing period after the notice period ends.

If a payment fails, we will let you know. If your account is not brought up to date within [to be confirmed], we may pause services until it is. [to be confirmed].

4. Month-to-month term and cancellation

All plans are month-to-month, with no long-term contract and no setup fees. To cancel, give us 30 days' written notice by emailing info@abcvirtualoffices.com. Questions about canceling? Call (888) 70-90210. Cancellation takes effect at the end of the billing period after your notice period ends, and you will not be charged again after that.

We may end your service by giving you [to be confirmed] notice by email, or right away if you break these Terms (see section 9) or your account stays unpaid beyond the grace period.

When your service ends, you must stop using our address and our phone number for your business, and update your address with your bank, customers, suppliers and government agencies.

5. Refunds

Because service is month-to-month and billed in advance, monthly fees are generally not refunded for partial months. When you cancel, your service continues through the end of the period you have already paid for. If you believe you were charged in error, contact us and we will review it and correct any billing mistake.

6. USPS Form 1583

The U.S. Postal Service requires a completed USPS Form 1583 (Application for Delivery of Mail Through Agent) before an agent may receive mail for you. Mail service starts only after we receive your completed form. You sign the form at our office in front of a member of our office staff, who checks two current forms of identification, one with a photo. If you cannot come in, you may have the form signed in front of a notary public instead. Live Answering, a phone-only package, does not require the form.

We keep your Form 1583 and copies of your identification on file for as long as USPS rules require. When your mail service ends for any reason, we will record the end date on your Form 1583.

7. Mail and package handling while your service is active

Mail and packages addressed to you are received at our office and held in your private mailbox. You, or someone you designate in writing, can pick them up during business hours, Monday–Friday, 9 AM–5 PM, Pacific Time.

Please collect mail regularly. Mail held longer than [to be confirmed] may be forwarded to you at your cost. We may refuse packages larger than [to be confirmed], and we may ask you to collect large or unusually high volumes of packages promptly. With your permission, we receive and sign for packages delivered to you.

Mail forwarding is available at an extra charge, plus postage, to an address you choose. Open-and-scan mail scanning is available only after you sign a release giving us written permission to open your mail. We ask that you sign the release in person at our office whenever possible. Mail scanning is a month-to-month add-on: envelope scanning (we scan the outside of each envelope) is $25 per month, and open-and-scan is $50 per month.

We handle your mail with care, but we are not responsible for items lost, delayed or damaged by the Postal Service or other carriers, or for items that are not properly addressed to you. We may refuse items that are illegal, hazardous, perishable or too large to store.

8. Mail after cancellation, forwarding and abandoned mail

After your service ends, we do not forward mail unless you have paid for forwarding in advance, before your cancellation takes effect. Otherwise, we will hold mail and packages that arrive for you for 30 days, and you can pick them up during business hours.

After those 30 days, mail that arrives for you is returned to the sender. Items already in our office that are not collected within [to be confirmed] after your service ends will be treated as abandoned and returned to the sender. We will email you before we do this [to be confirmed].

9. Prohibited uses

You may use our address, phone services and rooms only for lawful purposes. You may not use our services, or let anyone else use them, to:

  • carry out or promote any illegal activity
  • commit fraud, run scams, or engage in deceptive or misleading business practices
  • hide your identity, impersonate another person or business, or give us false information
  • launder money, evade taxes, or avoid legal process
  • receive illegal, stolen, hazardous or controlled items, or items that require a license you do not hold
  • send spam or unsolicited robocalls, or harass, threaten or abuse anyone, including our staff
  • infringe anyone's intellectual property or privacy rights
  • break the rules of the building we operate in

We may suspend or end service, with or without notice, if we reasonably believe these Terms have been broken, and we may cooperate with law enforcement and respond to lawful requests for information.

10. Phone answering

Live answering is provided from 9 AM to 5 PM, Monday–Friday, Pacific Time, excluding holidays. On the Live Answering, Standard and Transfer packages, calls after hours, on weekends and on holidays go to your voicemail. After-hours call transfer is available as an add-on.

Your 310 phone number stays with ABC. It cannot be ported or transferred to you or to another provider, including when your service ends.

11. Conference room and hourly office bookings

Conference rooms and hourly offices are $45 per hour and can be booked during business hours, Monday–Friday, 9 AM–5 PM, subject to availability. Packages do not apply after hours, on weekends or on holidays. A booking is confirmed only when we confirm it with you.

Cancellations made at least 24 hours before your start time are free. If you cancel less than 24 hours before your start time, or do not show up, you are charged for the full booking. Time beyond your booking is billed in 15-minute increments at the hourly room rate of $45 per hour, subject to availability.

Please leave rooms in the condition you found them. You are responsible for any damage caused by you or your guests.

12. Limitation of liability

Our services are provided on an "as is" and "as available" basis. To the fullest extent permitted by law, ABC is not liable for indirect, incidental, special or consequential damages, or for lost profits or lost business, arising from your use of our services. To the fullest extent permitted by law, our total liability for any claim relating to our services is limited to the amount you paid us for the service in the month before the claim arose.

13. Governing law

These Terms are governed by the laws of the State of California, and any dispute will be heard in the courts of the State of California.

14. Changes to these terms

We may update these Terms from time to time. When we do, we will post the updated version on this page with a new "last updated" date, and we will notify active customers of significant changes by email. Continuing to use our services after changes take effect means you accept the updated Terms.
